Stamps.com
Acctivate can be integrated with the desktop version of Stamps.com.
Overview
When Acctivate is integrated with Stamps.com, you will be able to import Acctivate sales orders into Stamps.com. Once labels are printed, shipment information will be exported back to the sales orders in Acctivate.
Setup
Before beginning, you must download and install the Stamps.com PC Software.
ODBC Connection On the workstation where Stamps.com is installed, complete the ODBC (32-bit) setup.
Create an Import Map
- Launch the Stamps.com PC Software:
- Select the Orders tab.
- Click Manage Data Sources.
- Click Add Source.
- Select ODBC and click Next.
- In the New Profile Wizard window enter a Profile Name, such as "Acctivate", and click Next.
- Choose Select existing ODBC data source and click Next.
- Select the Acctivate ODBC connection that you created at the beginning.
- Enter your SQL Server Username and Password, then click Next. The default settings for SQL Server access are:
- Login ID: sa
- Password: Contact support if you need assistance with this
- Select OrdersAvailableToShip from the Data Source drop down menu.
- Map the OrderNumber field to the Order ID drop down menu, then map OrderDate to Order ID.
Note
No additional fields need to be mapped. The mappings will come from pre-configured .sql files
- Click Next.
- In the Post Back Data Source screen, select Same data source and click Next.
- Select tbOrderPackagesText from the Database Table: drop down menu.
- Map the OrderNumber field to the Order ID drop down menu.
- Click Next.
- The Profile Options window will ope up. Click Done.
- Edit the profile you just created and check the box to use Custom Queries
- Click the Browse button and unzip the Stamps.com Configuration Files into the Stamps.com folder.
- Finally, click Done in the Edit Profile window.
Usage
Note
Only Acctivate sales orders associated with the carrier "USPS" will be imported.
The following qualifications must be met in order to export an order to Stamps:
- The sales order must be assigned a Carrier Service which is configured for the carrier "USPS".
- The sales order must have at least one scheduled line item.
- The sales order must not have a credit hold.
To batch import sales orders into Stamps.com PC Software, perform the following steps:
- Open Stamps.com PC Software on your desktop computer.
- In the left menu, click on Orders.
- Click the Import Orders button to begin the import.
To import a single sales order number at a time, perform the following steps:
- Open Stamps.com PC Software on your desktop computer.
- Click the Tools menu and select Show Shipper Toolbar.
- In the Shipper Toolbar that appears below the top menu, choose the Acctivate Profile you created. Type in an Order ID (Acctivate sales order number) and click Get Order to import the order.
Below is a list of Stamps.com fields that are populated from Acctivate sales order data fields.
Note
The standard mappings can be altered by modifying the queries in the Stamps.com Configuration Files that were downloaded and saved during the initial setup.

Import Data
- Order ID: The Order # number from the Acctivate sales order.
- Order Date: The Order Date from the Acctivate sales order.
- Full Name: The recipient's full name, from the ContactName of the Acctivate sales order.
- Company: The recipient's company name, from the Company field in Edit Customer window.
- Address 1: Ship to address line 2 from sales order.
- Address 2: Ship to address line 3 from sales order.
- City: City field from the sales order's Shipping Address.
- State: State/Province field from the sales order's Shipping Address.
- ZIP/Postal Code: Zip/Postal Code field from the sales order's Shipping Address.
- Country: Country/Region field from the sales order's Shipping Address.
- Email: The sales order's contact email.
- Phone: The sales order's contact phone.
- Ship Method: The ShipVia from the Acctivate sales order.
When you print the shipping labels, Stamps.com will write back the shipment information to Acctivate's database. This information will be visible on the Packages tab of the Enter Sales Order window.
Below is a list of Stamps.com fields that are populated from Acctivate sales order data fields.
Export Data
- Mail Class: The mail class will be written back to Acctivate and will be recorded as the carrier service.
- Tracking Number: The tracking number.
- Mail Date: The mail date is written back as the shipment date.
- Postage Amount: Written back as the Shipping Amount.
- Insurance Fee: Written back as the Handling Charge.
- Weight: The shipment weight.
- Packages written back from Stamps.com will set the Carrier Billing Option to "Non-Billable".
